How Vialine handles your information
We collect the information needed to provide Vialine, connect your chosen providers, run your AI workspace, secure accounts, process payments, and improve the service. This includes workspace context, connected-provider settings, and the content you choose to place in the workspace. We do not sell personal information. We do not use Google user data for advertising.
1. Introduction
This Privacy Policy explains how Groveline, LLC doing business as Vialine (“Vialine”, “we”, “us”, or “our”) collects, uses, shares, retains, and protects information when you use vialine.io, the Vialine application, and related setup, support, consulting, software, and communication services (collectively, the “Services”).
This Privacy Policy is part of our Terms of Service.
2. Information we collect
2.1 Information you provide
We collect information you choose to provide, including:
- account information such as name, email address, password, company name, role, and workspace settings;
- billing information handled through our payment processor, such as subscription status and payment metadata;
- business profile and onboarding information, including business type, team needs, use cases, instructions, and preferences;
- documents, prompts, messages, agent instructions, outputs, uploaded files, and other workspace content;
- support requests, emails, form submissions, and other communications with us;
- API keys, provider connection settings, OAuth connection metadata, and connected-account configuration you choose to add.
2.2 Information collected automatically
We may collect technical and usage information automatically, including IP address, device and browser information, pages viewed, referring URLs, timestamps, feature usage, error logs, security logs, session events, and approximate location derived from IP address.
We may use cookies, local storage, analytics SDKs, and similar technologies for authentication, security, preferences, product analytics, debugging, and service improvement.
2.3 Information from third-party services
If you sign in with, connect, or authorize a third-party service, we receive information from that service according to your permissions and the provider’s settings. This may include profile details, email address, account identifiers, access tokens, refresh tokens, file metadata, selected document content, provider settings, and API-response data needed to provide the Services.
3. Google OAuth and Google API data
Vialine may let you sign in with Google or connect Google services, including Google Drive and Google Calendar, so you can authenticate your account, browse files you choose to connect, link selected documents to your Vialine workspace or agents, use those documents as business context in Vialine, and support scheduling features where enabled.
Depending on the Google permissions you approve, Vialine may receive Google account information such as your name, email address, profile image, Google account identifier, OAuth tokens, Drive file and folder metadata, Calendar availability or scheduling metadata, and the content of Google Drive files that you select, link, import, or ask Vialine to process.
Vialine uses Google user data only to provide and improve user-facing features you request, maintain and secure your account, troubleshoot the Services, comply with law, and prevent abuse. We do not sell Google user data. We do not use Google user data for advertising, retargeting, creditworthiness, or unrelated profiling.
Vialine’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We do not allow humans to read Google user data unless one of the following applies: you ask us for help and the access is necessary to provide support; access is required for security, abuse prevention, legal compliance, or service operation; or the data has first been aggregated or de-identified.
4. How we use information
We use information to:
- create, authenticate, secure, and administer accounts;
- provide chat, agent, document, model-provider, onboarding, billing, and workspace features;
- connect to third-party services you authorize, including Google and other provider accounts;
- send prompts, workspace context, selected documents, and instructions to AI providers when needed to generate requested outputs;
- save conversation history, workspace settings, memory, document metadata, and agent configuration where the product requires it and where your workspace settings allow it;
- process payments and manage subscriptions;
- provide support, respond to requests, and send service communications;
- monitor reliability, debug errors, prevent abuse, and protect security;
- analyze product usage and improve the Services;
- comply with legal obligations and enforce our agreements.
5. AI processing and model providers
Vialine may process your prompts, documents, workspace context, agent instructions, chat history, and related content through AI model providers selected by you or configured for your workspace. Providers may include cloud AI APIs, bring-your-own-key providers, custom private-model deployments, or other model infrastructure.
Third-party AI providers process data according to their own terms, privacy policies, security commitments, and API settings. You are responsible for deciding what content is appropriate to send to a selected provider, especially when using your own provider key or connected account.
In the standard Vialine product path, you connect the provider you want and that provider bills you directly. If you request a more private or self-hosted model setup, that is handled as a custom support path and may involve different infrastructure and data flows than the default cloud-provider path.
6. How we share information
We do not sell personal information. We may share information in the following limited circumstances:
- Service providers: vendors that help us provide hosting, databases, security, analytics, error monitoring, email, payments, customer support, and related operations.
- AI and integration providers: AI model providers, document platforms, OAuth providers, and other services you choose to connect or use through Vialine.
- Legal and safety: when required by law, legal process, security needs, fraud prevention, or to protect rights, property, users, or the public.
- Business transfers: in connection with a merger, financing, acquisition, reorganization, or sale of assets.
- With your direction or consent: when you instruct us to share information or authorize a connection.
7. Data security
We use administrative, technical, and organizational safeguards designed to protect information, including access controls, encryption in transit, secret-management practices, logging, monitoring, and account-security controls. No internet or electronic storage system can be guaranteed to be completely secure.
8. Data retention and deletion
We retain information for as long as needed to provide the Services, maintain accounts, comply with legal obligations, resolve disputes, enforce agreements, secure the Services, and support legitimate business purposes.
Workspace content may include documents, shared business context, chat history, agent instructions, and memory records created to help the workspace stay grounded in your business. Retention and deletion timing may vary depending on the type of record and your workspace settings.
You may request deletion of your account or workspace data by contacting us. Some information may be retained where required or permitted by law, including billing records, security logs, backup records, fraud-prevention records, and records needed to resolve disputes.
If you disconnect a Google account or other third-party account, we stop using that connection for future access. You may also manage or revoke Google access through your Google Account permissions page.
9. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, export, or object to certain processing of personal information. You may also update account information in the application, disconnect provider accounts, delete workspace content where supported, adjust available workspace settings, unsubscribe from optional emails, and manage cookies through your browser settings.

10. Children’s privacy
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us so we can take appropriate action.
11. International transfers
We are based in the United States. Information may be processed in the United States and other countries where we or our service providers operate. Those countries may have data-protection laws that differ from the laws where you live.
12. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. Updates will be posted on this page with a new “Last updated” date.
